
After conducting your final feasibility study interviews, it’s time to nail the post-interview thank you letters. Everyone who received the initial feasibility study letter should receive two follow-up letters. Each letter should convey your thanks for their time and consideration and inform them the study is complete. First, each person will receive one of two thank you letters; the body of which will depend on whether or not they were actually interviewed. Second, once the results have been compiled, everyone who was contacted regarding the initial study will receive a follow-up letter confirming its completion and providing them with key results.
Send Interview Thank You Notes Immediately
Remember, after each day after interviews, the feasibility study coordinator should also send a thank you letter to those who were interviewed. The interviewer should send the following information to the feasibility study coordinator daily:
- Who was interviewed so the coordinator can mail the thank you letter
- Communicate any no-shows so the letters can be addressed accordingly
- Communicate any corrected names, addresses, titles, etc. so the coordinator can update the client’s prospect/donor records

After completion of the interviews, it’s a good idea to send a letter to those you chose not to interview. This lets them know the interview process is completed and gives you an opportunity to thank them for their consideration.

An important part of the feasibility study wrap-up is to send a final letter to everyone who received the initial feasibility study introduction letter. Send the letter to anyone who was contacted about the study to thank them and let them know the study is complete. This letter should also contain key highlights of the study results.
